Bahrain Food Festival 2025 application



Event General Info:

Bahrain Tourism & Exhibitions Authority (BTEA) is hereby organizing the 9th edition of Bahrain Food Festival 2025 which will be taking place in Febuary of 2025, with each vendor participating in the event for 20 days. This agreement is by and between Bahrain Tourism & Exhibitions Authority.

THE PARTICIPATING VENDOR WILL HAVE TO AGREE UPON THE FOLLOWING TERMS AND CONDITIONS:

Terms for participating:

  • Each vendor should have at least one Bahraini employee attending/operating during the event to be able to register.
  • The vendor should take precaution during the normalization process such as:
    • Using masks during the event and in their kitchen operation.
    • Using approved sanitization materials based on the MOH rules and regulation.
    • Practice hand hygiene.
    • Routinely clean and disinfect all high-touch areas such as for example the front desk, menu, multiuse equipment’s, etc.
  • The vendor hereby will utilize the space given for the term.
  • Logos submitted should be in both English and Arabic.
  • Payment of fees will be completed as per the below description:

    • Total fee to be paid is BD 860.000 with 10% VAT for booths, or food trucks or carts areas and electricity.
    • Security deposit is BD 100.
  • Once BTEA’s management assigns a space to the vendors, vendors are prohibited under any circumstances to change the designated location before or during the event.
  • Each vendor should submit their menu along with the prices to complete the registration as follow below:
    • Menu should be displayed in Arabic and English.
  • Each vendor should finalize the cost of the electricity based on the organizer cost appointed by BTEA (keep in mind that the both provides basic power supply and each vendor should purchase the electricity power needed for our daily workflow).

Set-up, dismantling and timing:

  • The vendor should commit to the time and the date provided by the management for area preparation. The space will be available for setup one day prior to event, and available for removal one day after the event.
  • Damaging the rented area during setup, operations or dismantling, BTEA is authorized to deduct the whole amount of the security deposit of BHD 100 as a penalty.
  • The vendor is required to contact the agency for set-up and electricity requirements prior to the first day of the event (at least 2 days prior).

Duration:

  • Each participating vendor will occupy the area for a whole perdiod of the event duration.
  • From February 7th till February 26 2025. The timing of the event will be on Weekdays (Saturday – Wednesday) from 4 PM to 11 PM, and on Weekends (Thursday – Friday) from 4 PM to 12 AM

Additional Guidelines:

  • Professional behavior and dress code are required for all participants.
  • The vendor will be provided with a POS Cloud Software to place orders by the customers or the vendor. (details will be shared on later period).
  • The vendor should not make any alterations or additions to the approved design by the organizing company.
  • The vendor must follow all rules and regulations determined by BTEA. Failure to meet the requirements may lead to dismissal from the event and no refunds will be provided.
  • The vendor must operate during the agreed time and date. Since any violations of this agreement will affect the reputation of BTEA’s event, the management will impose a penalty and may disqualify the vendor from participating in events hosted by BTEA in the future.
  • The vendor is obliged to maintain high standards of services at all times based on the Ministry of Health and Ministry of Industry Commerce and Tourism terms and regulation.
  • The vendor is responsible for keeping their space attractive, clean and tidy at all times.
  • The vendor must secure their goods and products at all times, BTEA will not be responsible in case of theft or loss.

Cancellation:

  • No cancellation from the vendor is acceptable at any time; the charges paid will not be refunded.

General Terms:

  • The vendor is fully responsible for any violation of laws whether committed by himself or his subcontractor(s) or employees.
  • The vendor is responsible of any damage that happens after working hours of the event.
  • The vendor is responsible for complying with the site safety rules and protecting their workspace and adjacent workspaces of third parties.
  • The vendor will indemnify, defend and refrain from holding BTEA accountable (including its officers, employees, agents and partners) from any claims, liabilities, losses, costs or damages, including attorneys' fees and costs, arising out of any act or omission by the vendor in exercising any rights or responsibilities arising from this Agreement or for any breach of any of its obligations under this Agreement or breach of any warranty provided under this Agreement.
  • The vendor will provide at their own expense, all labor, material, equipment, insurances, tools and material necessary for his participation.
  • The vendor will be obliged, if so, requested by BTEA, to attend any meetings or inspections after giving a sufficient notice.
  • The vendor will co-ordinate and work with other parties (BTEA organizers) as per BTEA’s request.
  • In case of any event of force majeure, none of the parties shall be held responsible for loss or damages incurred. Should a force majeure be enforced, BTEA has the right to affect the termination of this agreement immediately.
  • This agreement is deemed to have been made in the Kingdom of Bahrain and its contents, interpretation, validity, performance and enforcement shall be governed in all respects by the laws of the Kingdom of Bahrain and the Parties hereby agree to submit to the exclusive jurisdiction of the courts of the Kingdom of Bahrain to hear any dispute which cannot be settled amicably between the Parties.


THE VENDOR CERTIFIES THAT THE INFORMATION ON THE VENDOR CONTRACT IS A CORRECT DESCRIPTION OF THE SERVICES AND PRODUCTS TO BE PROVIDED BY THE VENDOR AT THE EVENT. THE VENDOR UNDERSTANDS THAT FAILURE TO FOLLOW VENDOR TERMS AND CONDITIONS WILL RESULT IN INELIGIBILTIY FOR FUTURE EVENTS. THE VENDOR HEREBY AGREES ON ALL TERMS AND RULES TO PARTICIPATE IN THE EVENT AND UNDERSTANDS THAT THE FEE SHALL NOT BE REFUNDED IF THE EVENT IS CANCELLED FOR ANY CIRCUMSTANCES INCLUDING BUT NOT LIMITED TO INCLEMENT WEATHER OR ACTS OF NATURE.
